Operations Coordinator — Athletics Department

The Operations Coordinator is responsible for operations and program management. The position administers and manages the USA Cycling programs upholding organizational and professional standards.

Essential Duties

  1. Act as a liaison and facilitate communication between the Mechanics Advisory Council and USA Cycling
  2. Manage USA Cycling Mechanics Licensing and upgrades as well as a volunteer mechanic list available for USAC events, camps and programs
  3. Organizes and executes the annual Bill Woodul Race Mechanics Clinic; manages USA Cycling mechanics’ licensing and upgrades
  4. Responsible for inventory management, i.e. Colorado Springs, Home Depot Center, Chula Vista, Belgium, Italy, with assistance from Program Managers
  5. Manage and track equipment on loan (bikes, SRM power meters, wheels) and rider contracts for that equipment to ensure timely return
  6. Maintain and manage the USA Cycling shop and warehouse
  7. Work with Vice President of Athletics, Director of Logistics and coaches in determining and planning the equipment needs for Athletics programs
  8. Act on behalf of USA Cycling to facilitate communication and procure USA Cycling sponsors and suppliers; including maintaining sponsor relations, recruiting new sponsors, ensuring deliverables are met, placing orders, and following up. Collaborates with other departments to maximize USA Cycling's value and sponsor value, ensuring sponsor logo placement is correct on web, vehicles, etc.
  9. Assist program managers and coaching staff in managing PR and marketing efforts for equipment sponsors and ensure sponsors are correctly represented in a professional manner
  10. Support program managers and Coaching Staff by coordinating the shipping and receiving of product and equipment, organize and execute international shipments to USA Cycling programs in Europe and coaches traveling to events
  11. Develops and manages budgets for shop operations and the Mechanics Clinic; responsible for making key spending decisions to stay on budget.
  12. Manage the operational logistics associated with the Neutral Service Program at National Championship events as determined by the Vice President of Athletics in association with the Managing Director of Events
  13. Provides staffing assistance to Program Managers and Directors including identifying candidates, writing contracts, and arranging payments
  14. Manage and maintain vehicle fleet including both owned and sponsor supplied vehicles, including routine maintenance, inspections and tags
  15. Provide transfer to and from airports for staff using USA Cycling vehicles
  16. Other duties as assigned

Education

Experience
Generally, five (5) years of experience in cycling, sports management and/or operations; strong working knowledge of European races, race directors, and race management.

Equipment Utilized
General office equipment, such as computer, scanner, fax, and telephone; bicycle tools and various manual transmission vehicles.

Software Utilized
Microsoft Office Word, Excel, PowerPoint, Outlook; Smart Turn inventory system.

Scope of Authority, Financial Authority and Communication
This is a Nonexempt position.

Physical Demands and Working Conditions
Generally, works in the office or warehouse environment approximately 50% of the time and spends the remaining 50% of the time in the field environment; therefore, the noise level in the work environment is usually moderate. The employee may occasionally lift and/or move up to 70 pounds. Specific vision abilities required by this job include close vision and distance vision. While performing the duties of this job, the employee is regularly required to sit and talk and hear. The employee is frequently required to use hands to finger, handle, or feel and reach with hands and arms. The employee is frequently required to, walk, climb or balance and stoop, kneel, crouch, or crawl. The employee is frequently required to stand or drive a vehicle for extended periods of time.

Programmer-Analyst

USA Cycling is seeking a temporary programmer/analyst to assist in developing, implementing, and maintaining its custom web driven code base using PHP, MySQL and jQuery. As a member of USA Cycling’s IT Department, the temporary programmer/analyst will report to the Technical Lead/Architect and will work in concert with the membership, events, marketing, and communications departments. This position is temporary of approximately 1 year in length, is paid on an hourly basis 40 hours a week or less and does not include medical benefits. This position requires daily face to face contact with staff in Colorado Springs.

USA Cycling is currently expanding the functionality of its website and mobile app with many exciting enhancements.  Immediate responsibilities of this position will be in projects that require a thorough analysis of requirements, the programming of the solution, and extensive testing as well. The temporary programmer/analyst will spend the majority of his/her time working with PHP and MySQL to provide solutions for both internal clients and USA Cycling’s more than 60,000 members.

Responsibilities

Creation and maintenance of PHP code in projects that intertwine with other modules of USA Cycling’s internally written applications.  The person in this position will be expected to follow a coding guideline, document their code, as well as utilize a version control system to prevent overwriting other developer’s changes and to efficiently enable rolling back any erroneous changes that get into production.

Required Skills

  • Experience using the Linux/Apache/MySQL/PHP (LAMP) platform
  • Ability to use ssh and sftp tools for managing documents
  • Basic understanding of databases and content management software
  • Computer proficiency in the following: Microsoft Word, Excel, Photoshop
  • Strong interpersonal skills

Experience and Salary

Minimum 4 years programming with at least two years PHP experience using a database back end.  The pay rate for this position is expected to be $20-$25 an hour depending on experience.

Western Collegiate Cycling Conference Director

Supervisor:

USA Cycling Collegiate Program Manager

Summary:

This is an unpaid volunteer position, assigned by location with an operating budget provided by USA Cycling for the administration of Collegiate Cycling within the Conference. Volunteer must possess high levels of customer service, managerial skills, and motivation with the desire to develop the program. Pre-existing working knowledge of collegiate race promotion, rules, scoring, and rankings, in all disciplines of cycling, is also necessary. The ability to work cohesively as part of a team, manage volunteers, and delegate responsibilities as appropriate is a must. Above all, a passion for the sport of cycling and for collegiate cycling in particular is essential to success in this position.

Ideally this position will be divided between at least two individuals: a Conference Director and an Assistant Conference Director. Some duties will be handled exclusively by the Conference Director, some by the Assistant Director, and others will be shared between the two positions. How these duties are divided between the positions (whether by season or by duty, etc) is flexible and can be determined by the successful candidate(s). Some duties can also be delegated to additional individuals (i.e. conference communications manager, webmaster, results coordinator, etc).

USA Cycling provides:

•    Annual operating budget for reimbursement of basic administrative expenses and travel to some conference races.
•    Medals and trophies for conference championships
•    Annual USA Cycling membership (racing and/or officiating license)

Basic Responsibilities:

•    Coordinate conference season schedules
•    Coordinate conference omnium rankings for each race and event
•    Manage collegiate upgrade requests
•    Manage National Championship qualifications
•    Manage conference website and e-mail listserv(s)
•    Administer conference rules and regulations, so long as they do not supplant those of USA Cycling
•    Act as first point of contact for USA Cycling collegiate membership issues and pass along to USA Cycling staff wherever appropriate
•    Maintain communication with USA Cycling staff to assist in the development of the collegiate program and refinement of rules
•    Host conference meetings for team leaders to discuss conference rules, issues, schedules, and provide leadership training when possible
•    Coordinate volunteers (e.g. results, clinics, media/pr, other positions as necessary)
•    Attend annual Collegiate Conference Director Summit in Colorado Springs and regular conference calls with other Conference Directors

Second Tier Responsibilities:

•    Work closely with USA Cycling staff to ensure all conference races are permitted in a timely fashion and organized safely in accordance with all USA Cycling rules and regulations
•    Work closely with all other Volunteer Conference Directors and the Collegiate Manager to maintain an open line of communication between conferences and share best practices
•    Work with Local Association and Regional Coordinators to coordinate schedules, officials, and funding
•    Aid in development of new leaders within the conference
•    Assist with the founding new collegiate cycling clubs, and provide support to existing and developing clubs
•    Contribute conference news to be posted on USAC website, conference website and/or distributed by e-newsletter or other media coverage to market collegiate cycling
•    Perform other miscellaneous duties as required (e.g. race announcing, intro clinic coaching, etc.)

Assumptions:

•    Uphold USA Cycling rules, regulations, and code of conduct.
•    Manage budget to ensure the provided budget is used in most productive fashion within the conference.

Requirements:

•    Ability to travel within the conference
•    Basic understanding of collegiate rules and scoring
•    Geographically located in the conference
